LottoShield Best Practices
Following these best practices will ensure accurate tracking, clean reconciliations, and smooth daily operations. The steps are simple and, when followed consistently, will prevent inventory discrepancies and missing-pack alerts.
Quick Steps for Employees
- Start of Shift: Perform a display case audit.
- Shift Change / Midday: Perform an audit when the next employee begins their shift.
- End of Day: Complete a final audit before the POS day closes.
- Check POS Clock: Ensure register time is accurate.
- Sell in Order: Always sell tickets in numerical sequence and in the same direction.
- Backstock: Perform a backstock audit daily, or at minimum weekly.
- Vending Machines: Contact LottoShield Support for the recommended reconciliation process.
Inventory Scans & Audits
Perform display case audits:
- At the start of each employee shift
- At shift changes
- Before closing the POS day
End-of-Day Audit Timing
- Non–24-hour stores: Audit at least 10 minutes before the POS day close.
- 24-hour stores: Audit 10 minutes before the automatic POS day close.
- Stores that close early:
- If the store closes at 10 PM but the POS day closes at 2 AM, perform the final audit at store closing (10 PM).
Audit Guidelines
- Do not sell scratchers during audits.
- Scan all packs in the display case.
- Double scans are okay—LottoShield will detect duplicates.
- Submit audits immediately after completion so they post correctly.
Important Note About Interrupted Scans
If you begin an audit and cannot finish:
Do NOT leave the scanner idle and attempt to resume later.
This will create data errors and inventory discrepancies.
✔ Always back out of the audit and restart later when you have enough uninterrupted time to complete it.
Newly Activated Packs
- You do not need to separately scan newly activated packs when placing them into the display case. These packs should only be scanned during your regular display case audits. Any tickets sold between the time the pack is placed in the display and the next audit will be automatically accounted for by LottoShield.
- When performing display case inventory scans:
- Scan all packs in the display case or do not scan at all.
- Partial scans will create inaccurate results.
Register Clock Accuracy
Always ensure your POS clock is accurate.
Incorrect register time will cause:
- Shortages
- Overages
- Timeline misalignment in LottoShield
Accurate time = accurate reconciliation.

Ticket Order & Roll Direction
- Keep all packs running in the same roll direction (low → high or high → low).
- Roll direction for display cases and vending machines must be the same.
- Never sell tickets out of numerical sequence.
- Selling out of order—even for customer requests—creates:
- Temporary overages
- Later shortages
- Avoidable reconciliation issues
Backstock Audits
Perform backstock audits:
- Daily for best protection
- Weekly at minimum

Vending Machine Stores
