Performing Vending Machine Audits
LottoShield Managed Service provides a full reconciliation of the Lottery Vending Machine with item level details for every ticket sold versus inventory movement. Follow the steps below to ensure complete reconciliation.
Vending Machine Procedures
Vending Machine Audit
- Open the LottoShield app, select Vending Machine Audit
- Scan all packs in the vending machine. You must scan the current ticket number on all loaded packs.
Print the Shift Report
- Print the vending machine’s shift report (must be done first)
- Clear the vending machine, resetting the vending machine's sales and cash to 0
- Pull cash and follow your organizations cash handling procedures.
Upload the Vending Machine Shift Report
- Open the LottoShield app, select Photograph Report
- Select Vending Machine Shift Report
- Capture an image of the Shift Report
For more details on how to properly capture the Shift Report, see Capturing Lottery Terminal and Lottery Vending Machine Slips - Review the image to be sure it is readable and all info from top to bottom is visible and legible
- Click Confirm when done.
Adding New Packs Between Shift Closes (not recommended)
If you must load new packs into the vending machine before the next shift close:
- Activate the pack(s) that you wish to add to the vending machine, as normal. (Very Important)
- Open the LottoShield app, select Vending Machine Audit
- Scan only the starting ticket number of each new pack (Do not scan the wrong end of pack. Scanning the wrong end will cause reconciliation errors in LottoShield)
- Submit the audit
Best Practices
- Ensure report photos/scans are clear and readable, with all corners visible.
- If you are going to clear the shift on the Vending Machine you must scan all packs inside.
- Do not scan the wrong end of new packs. Scanning the wrong end will cause reconciliation errors.
- Vending Machines and Display Cases should always have the same roll direction.
