Performing Vending Machine Audits

LottoShield Managed Service provides full reconciliation of your Lottery Vending Machine, including item-level details for every ticket sold compared to inventory movement. To ensure accurate and complete reconciliation, follow the procedures outlined below.


Vending Machine Procedures

This guide assumes that LottoShield vending machine audits are performed as part of your store’s shift close process, that a shift report is printed according to your normal operating procedures, and that users have a basic understanding of scanner behavior within the LottoShield application.

Vending Machine Audit at Shift Close

  1. Open the LottoShield app, select Vending Machine Audit (2)
  2. Scan all packs in the vending machine. You must scan the current ticket number on all loaded packs.

Upload the Vending Machine Shift Report

  1. Open the LottoShield app, select Photograph Report (3)
  2. Select Vending Machine Shift Report (4)
  3. Capture an image of the Shift Report (5)

  4. Review the image to be sure it is readable and all info from top to bottom is visible and legible
  5. Click Confirm when done.

Adding New Packs Between Shift Closes

While LottoShield doesn’t recommend adding packs between shift closes for stores that perform daily shift closes, we recognize that locations operating on a weekly shift schedule may occasionally need to add inventory in between shift closes.

Use the following procedure to accomplish this while maintaining accurate tracking in LottoShield:

  1. Activate the pack(s) that you wish to add to the vending machine, as normal. (Very Important)
  2. Open the LottoShield app, select Vending Machine Audit
  3. Scan only the starting ticket number of each new pack you are adding
     
    Do not scan the wrong end of pack. Scanning the wrong end will cause reconciliation errors in LottoShield)
  4. Submit the audit

Best Practices

  • Ensure report photos/scans are clear and readable, with all corners visible.
  • If you are going to clear the shift on the Vending Machine you must scan all packs inside.
  • Do not scan the wrong end of new packs. Scanning the wrong end will cause reconciliation errors.
  • Vending Machines and Display Cases should always have the same roll direction.
